Welcome to Always Clear Accounting. By using our website or engaging our services, you agree to the following terms. These ensure clarity, mutual understanding, and a smooth working relationship.

“Client” refers to the individual or business using our services.
“Services” means the bookkeeping, payroll, accounting, and financial reporting we provide.
“Agreement” refers to these Terms of Service and any service-specific contracts.
2. Services Offered
We provide virtual bookkeeping, payroll, accounting, and financial reporting services tailored for small businesses. Details of each service can be found on our website.
3. Service Availability
Our standard business hours are Monday through Friday, 9:00 AM – 5:00 PM (PST). We observe major U.S. holidays. We make every effort to respond to client communications within 1–2 business days.
4. Client Responsibilities
Clients agree to:
Provide accurate, timely financial data and access to relevant systems.
Respond to requests within a reasonable timeframe.
Maintain communication throughout the engagement.
5. Fees & Payment
All fees are outlined in our service agreement or invoiced monthly unless other terms are agreed to by both parties.
Late payments may incur a 2% late fee per each month payment is not received.
We reserve the right to suspend services for overdue accounts.
6. Revisions & Scope Changes
If service needs shift beyond our original agreement, we’ll discuss scope changes before proceeding. Additional services may incur adjusted fees.
7. Confidentiality
We treat all financial and personal information with strict confidentiality. We do not share your data except as required by law or with your explicit consent.
8. Data Security
We use secure, encrypted methods for document exchange and data handling. Access to client data is limited to authorized personnel only.
9. Communication Preferences
Our primary channels are secure client portals and email. We may also use encrypted cloud tools for collaboration, as outlined during onboarding.
10. Refund Policy
All fees are non-refundable unless otherwise stated in your engagement agreement. If you’re dissatisfied, we’ll work with you to resolve the issue promptly.
11. Professional Standards
We adhere to industry best practices and standards including those set by the AIPB and NACPB, along with all relevant IRS and state compliance regulations.
12. Limitation of Liability
While we strive for excellence, Always Clear Accounting shall not be liable for indirect, incidental, or consequential damages arising from the use or performance of our services.
13. Termination of Services
Either party may terminate the agreement with [__] days’ written notice. Final payments are due before we release documentation or transfer records.
14. Governing Law
These Terms of Service shall be governed by the laws of the State of California. Any disputes shall be handled in the courts located in San Diego County, California, and you consent to their jurisdiction.
15. Changes to Terms
We may update these Terms periodically. Changes will be posted on our website. Continued use of our services signifies your acceptance of any revised terms.
